Administrative Assistant

They’re a leading science technology brand that offers specialty products that are heavily relied on by industries and private consumers around the globe. The successful candidate will maintain the overall flow of workplace operations and perform a variety of administrative and clerical tasks. To help fulfil daily office needs, the general functions of this position include but are not limited to preparing various documentation for colleagues, responding to inquiries, managing meeting times and calendar events of the office, supporting multiple operating areas, and organizing a wide range of paperwork, files, and records.

Duties Responsibilities:

 

  • Facilitate communication between colleagues and senior staff.
  • Provides administrative support to ensure efficient operation of the office.
  • Exhibits polite and professional communication via phone, email, and mail.
  • Conduct work safely by following company safety policies and regulations.
  • Contributes to team effort by accomplishing related results as needed.
  • Assist in the development of safety training materials and a system to track staff safety training needs.
  • Actively manage the documentation and the status of staff training.
  • Communicate and assist in staff training exercises regarding new policies and material provided by company HR.
  • Assist in coordinating payroll, benefits, and employment contracts with HR.
  • Respond in a timely fashion to HR-related requests.
  • Assist in developing and tracking annual budgets.
  • Track expenditures against approved budgets and provide monthly, quarterly, and yearly budget updates.
  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing, and expediting orders for supplies.
  • Coordinating the payment and approval of all invoices and matters regarding invoicing.
  • Respond in a timely fashion to finance-related requests from the finance department.
  • Assist in the preparation of yearly tax rebate filings.

Additional Information

  • 10/h per week.
  • The hourly rate of this position is between $20.00-25.64/hour, retained on a contract basis.
  • All candidates will be subject to a criminal record check if successfully selected for the interview stage.
