Summary:   The medical office assistant oversees the surgeon’s office’s day-to-day operations.  This includes registering patients, preparing exam rooms, filling all documentation, answering phones and emails, ordering all medical and office supplies, billing activities, and coordinating appointments with other doctors’ offices and the hospital.

Job Duties:

  • Manually registering patients: taking accurate and pertinent information including medical history and all contact information, checking for valid health card information, and verifying patients’ visit reasons.
  • Use an electronic medical records system for most office work.
  • Explain procedures and policies to patients.
  • Prepare exam rooms and direct patients to their assigned rooms.
  • Prepare patients for exams when required.
  • General office duties such as filing, answering of phone, replying to emails, sending paperwork, mail-outs, and ordering medical and office supplies.
  • Send referrals and inform patients of referral appointments.
  • Call pharmacies for prescriptions.
  • Check the validity of health cards via Health PEI or the computerized EMR system.
  • Measure the height and weight of patients as needed
  • Keeping exam rooms and work areas clean and tidy.
  • Update information using phone, internet and signage.
  • Maintaining confidentiality, privacy and use discretion at all times.
  • Stocking and taking inventory of all medical and office supplies.
  • Other duties as required.

 

Requirements:

  • 1+ year experience in an administrative capacity (preferred)
  • Excellent computer skills
  • Empathy for patients and their illness
  • Ability to work independently alongside other physician MOAs and ability to work cooperatively with a part-time MOA who currently works in office
  • Some post-secondary education
  • Well-defined sense of diplomacy
  • Criminal Record Check
  • Excellent command of written/spoken English with additional languages an asset
  • Medical Administration Course and/or ability to understand medical terminology (preferred)
  • Medical Office Administration or Hospital Clerk work is an asset but not required

Working Conditions:

  • Required on-site for clinic days but flexible to hours as needed
  • Ability to work under fast-paced conditions

 

Employment type:

  • Work hours: 30-40 hours a week
  • Job type: Full-time (Monday – Friday); 1-year term with potential for a permanent placement.

 

Benefits

  • Remuneration: $19-$26 per hour + medical-dental benefits depending on experience
